The full property management service details
Our full property management service encompases every aspect of managing your property, we take care of everything from finding the tenants, referencing tenants, risk assessment on your property, arranging gas safety certificates, move in, inventory,rent collection, move out and anything inbetween.
Inventory and schedule of condition
Before any tenancy begins our property manager visits the property to compile a fully detailed inventory and schedule of condition, we utilise video inventory technology which are not open to personal perception of a schedule of condition as a written report can be. This document and video forms part of the tenancy agreement and its contents may be used as evidence in court if required.
Gas and electrical safety
We will take responsibility for making sure the property meets all the legal requirements of the gas and electrical safety laws as well as the fire and furnishing laws.
Signing up and moving in
The tenants are met by our property manager at the property to go over the legal details and the signing of the tenancy agreement. The tenants sign for the keys and verify the inventory of the property contents and schedule of condition. We collect the initial rent and deposit funds and pay those to your bank via BACS.
Property Visits
A property visit is carried out at regular intervals, we check that the tenants are occupying the property in a tenant like manner and complying with the terms of the tenancy agreement. A report is left at the property and a copy entered onto our ‘landlords online extranet system’ where you can access full details. The landlord is advised of any repair issues that are raised and any considered breaches of the tenancy agreement.
Repairs and Maintenance
Our property manager filter reports of repairs and maintenance received from the tenants, they will advise you of any actions required via email/phone and our ‘landlords online extranet’ system. If instructed to do so will arrange and organise repairs using either contractors from our list or the landlords preferred contractor. Invoices for repairs are deducted from rent.
Tenancy Renewals
A member of the property management team will contact you during the third month of the tenancy, for instruction on renewal. At this point you have three choices. To offer the existing tenants a further term. To issue the tenants notice to terminate the tenancy at the end of the term. To offer a tenancy renewal, with a break clause to incorporate some flexibility. If we do not get a response from the landlord, to ensure continuity we would offer a renewal of tenancy.
Rent collection
We collect the rent each month and process the rent with any maintenanec work undertaken that you authorised and BACS the funds to your account and email you a statement for your records.
Final Inspections
An inspection of the property once the tenant has vacated will be carried out. The original inventory and schedule of condition is checked. The tenant is charged for any repairs and cleaning that is needed, which is considered beyond fair wear and tear. The landlord is notified of this and also advised on the on-going condition of the property and what is required to effect a quick re-let.
